What is tmail The task manager, also known as tmail or TM, is a global system for tracking interdependent tasks of people all over the world. You can use it for storing your interdependent tasks, as well as for sharing tasks among others. (Technically speaking, it's an adhoc work flow system where the flow is dynamic, i.e. can be changed anytime until the task is closed).TM defines a task as a work, which gets initiated by an user, flows through a series of stages (users), and gets closed. Any user in the series may initiate one or more subtasks in parallel, and wait for them to close before the parent task continues. How to use tmail Using tmail is very simple and intuitive. You just need to use the buttons on the horizontal menu bar, and get things done. Specific steps are described below. Getting Registered To get registered, you just need to fill in some minimal details in the "Sign Up" form in the home page. After submitting the form, you receive an email containing your user ID and randomly generated password. (If you don't receive any email, first ensure that the email has not entered in your spam folder. Then, go to "forgot password" option in login page.)
Inviting others to get registered To share tasks, your friends and colleagues need to be registered. You can invite them to get registered by clicking Invite button present in the right panel. Adding people to your favorite contact list You may like to add some of your colleagues to your contact list. People added to your contact list as favorite will appear in an autocomplete field when you need to assign task in "add new stage".
Creating a new task You can initiate a new tasks by clicking on Create a task. After you fill in some initial details click on the "create" button, you are placed on the task page. Now the task is in stage 1. Add a note here to describe about the task. Then, add some stages and assign these to others. Ultimately, you forward the task to the next stage by clicking on the "forward" button.
Viewing task lists 
By clicking on My task, you can view the tasks grouped into the following categories: 1. My to-do list - Tasks needing your action. 2. Tasks needing followup - Tasks initiated by you, whose to be finished by has passed. (you need to be concerned about these tasks, and follow up if needed) 3. Tasks on schedule - Tasks initiated by you, whose to be finished by has not yet arrived. 4. On my desk, subtasks On - Tasks waiting for subtasks to finish. 5. Future to-do list - Tasks needing your action, scheduled in future (these will enter in your to do list in future) 6. Tasks initiated by me - Tasks initiated by you. 7. Closed tasks - Closed tasks initiated by you. 8. My favorite tasks - The tasks which are made favorite by you. (A closed task can not be made favorite and if a task get closed, it automatically deleted from your favorite list) 9. Tasks involving me - Those tasks in which you are involved. These lists can be further filtered by "to be finished by" and "other filter options". Viewing and editing a task You can view and edit a task by clicking on the task from the lists explained above 
If you know the task id, you can go to to the task directly by clicking on View a task. Note that you can view a task only if you are one of the executors, or you are drilling down. For drilling down to a subtask, the subtask must have been exposed.
If you are the current executor of the task, you can add, delete, alter current and future stages. You can also create a subtask. Only the initiator can change the "to be finished by". Saving and forwarding/finishing a task After changing some fields such as "to be finished by", "schedule at" or "Responsible" of forthcoming stages, you need to click the "save" button. If you are forwarding a task by clicking "Forward" button, the task is saved and forwarded to next stage. If you are finishing a task by clicking "Finish" button, the task is saved and finished. Extending a finished task A finished task can be extended by clicking the "Extend" button or by clicking the "Add New Stage" button. Closing a task An initiator has to close a task once it finishes (goes through all the stages). Aborting a task An initiator of a task can request for abortion of a task by pressing the "abort" button. It then becomes the responsibility of the current executor to "close" the task. If the aborted task is not closed with in the 15 days period , then the initiator can "close" the task.
Deleting a task A task can be deleted after it is closed. When a task is deleted, all its subtasks, attachments, and references to parent tasks are deleted as well.
Attaching documents to a task Any executor of a task can attach a document to the task. However, the size of an attachment can be maximum up to 2 MB. The maximum space all the attachments of an user can consume is, currently, 10 MB. 
Click on Attachments to view all the documents that you have attached in various tasks, and delete some if you need to free space. Blocking specific users from assigning you tasks If certain users are disturbing you by assigning you tasks unnecessarily, you can block them by adding them to your contact list and marking them as blocked. |
